B2B research recruitment: panels, recruiters and expert networks
Recruit professionals for relevant work and recent decisions, then screen for their actual involvement rather than relying on a title. Compare a B2B panel, custom recruiter or expert network according to the audience and research activity. The provider examples describe different sourcing routes; feasibility, role checks and delivery responsibilities need to be agreed for each project.

About this guide
The examples come from PanelList records with documented B2B recruitment or expert-access services. Provider pages were reviewed on October 26, 2026. They describe different service models, including a Japan-specific offering alongside US, UK and European providers. Inclusion records a published service and does not assess delivery performance.
PanelList is sponsored by Versive. Other providers do not pay for inclusion. Versive appears where its documented capabilities relate to the topic, with sponsor labels on comparison entries.
Define the professional role and recent experience
“IT decision-maker” might mean a daily user, technical evaluator, procurement lead or final approver. Those participants could give very different answers about the same purchase. Describe the decision you are studying, the person's involvement and how recently it occurred. Add industry, company size and geography only where they affect the research question.
Use titles as one targeting aid rather than the whole qualification rule. Ask screening questions about responsibilities and experience in language appropriate to the role. If you need several members of a buying group, plan separate recruitment and analysis cells instead of hoping a generic seniority filter will capture the mix.
Compare panels, custom recruiters and expert networks
A professional panel can help when the necessary attributes are already profiled. Custom recruitment is worth discussing when the brief depends on a narrow combination of experience, company characteristics or named tools. An expert network offers a different starting point when you need a specialist consultation. Some suppliers combine these approaches.
| Research need | Approach to consider | Main question |
|---|---|---|
| A survey of a defined business population | B2B panel or managed B2B sample | Can it fill each quota with people who meet the actual role criteria? |
| Interviews with product users or buyers | Recruitment platform or managed recruiter | How will hands-on experience and purchase involvement be screened? |
| A narrow professional niche | Custom sourcing | Which outreach channels and fallback plans are included? |
| Specialist industry knowledge | Expert consultation network | Is the engagement a consultation, a survey or research execution? |
Distinguish identity checks from study eligibility
Identity checks, work-email confirmation and professional-profile review answer different questions. None automatically proves recent use of a product or authority over a budget. Ask which facts are checked, which are self-reported and which need project-specific screening.
For a narrow interview study, ask whether you can review short candidate summaries or use a relevant follow-up question before confirming sessions. Keep questions focused on eligibility rather than asking participants to provide substantive consulting work for free. Agree how the recruiter will handle inconsistent information and how you can challenge an unsuitable match.
Check country coverage and source overlap
For US, UK and European projects, request separate feasibility for each market and language. GMO Research & AI publishes a Japan-specific B2B offering; feasibility still depends on the required role and experience. A provider's office locations or total international reach do not establish availability for your particular professional role.
Ask how many participants will come from an existing panel, newly recruited professionals or external suppliers. If you commission several vendors, agree how duplicates will be detected. Also specify whether multiple people from the same organization are acceptable; the answer depends on whether you are studying individuals, buying teams or companies.
Running the study after recruitment
Versive can run AI-moderated interviews and surveys with real professionals to explore buying processes, workflows or product needs. Teams can invite their own contacts or route participants from an external recruiter into a study. Its recruiting workflow also offers Respondent access with professional targeting and screeners. Confirm feasibility for the specific role, experience and market rather than assuming a software integration supplies every B2B audience.
For business-product evaluation, Versive also supports concept and usability studies with real people using Figma prototypes, live websites and visual stimuli. Its separate AI-persona tests can help explore a design before recruitment. Report simulated feedback separately from interviews with professionals: an AI persona does not establish product experience or purchasing authority.
Compare feasibility, costs and recruitment responsibilities
Give every supplier the same brief and ask them to identify assumptions rather than silently broaden the audience. Request a clear distinction between recruitment, research software, interviewing, incentives and analysis. A consultation service and a sample-only survey quote may cover very different work.
Compare the expected number of usable responses or attended sessions, fieldwork timing, replacement rules and responsibilities for screening. For recurring research, ask how the supplier will maintain a comparable recruitment approach and record changes between waves.
- State the role, relevant task or decision, recency, company criteria and required markets.
- Specify method, session or survey length, equipment needs and any follow-up activity.
- Ask for expected feasibility by quota and for alternatives if the narrowest group cannot be filled.
- Require clear pricing for incentives, cancellations, rescheduling and additional screening.

Common questions
Is an expert network the same as a B2B survey panel?
No. They can serve overlapping audiences, but their engagement models differ. Confirm whether you are buying survey responses, scheduled expert conversations, recruiting support or access to previously recorded content.
Can a panel recruit users of a specific business product?
Ask for a project-specific feasibility check and a screening plan for recent use. A professional title or industry profile alone does not establish product experience.
Should I prioritize the largest professional database?
Prioritize the supplier's ability to find, qualify and engage your target group. Database scale, opted-in panel membership and the number of people available for a specific study are different measures.
