Proprietary panels vs. marketplaces vs. custom recruitment

A proprietary panel is a provider-managed participant pool. A sample marketplace connects buyers with audiences from multiple sources, while custom recruitment finds and screens people for a specific brief. Choose the sourcing arrangement around the audience and activity, then establish source disclosure, participant checks, recontact rules and delivery costs.

About this guide

The definitions explain participant-sourcing models. Provider examples use PanelList records and official pages reviewed on October 26, 2026. A company may offer several models, and a project may combine them. The examples describe those arrangements without comparing service quality.

PanelList is sponsored by Versive. Other providers do not pay for inclusion. Versive appears where its documented capabilities relate to the topic, with sponsor labels on comparison entries.

How the three sourcing models differ

A proprietary panel is a participant pool that the provider recruits and manages. A sample marketplace connects buyers with audiences supplied by multiple sources. Custom recruitment is a project-specific effort to find and screen people against a brief. Custom recruitment may use an existing panel, targeted outreach, specialist databases or a mixture.

The categories are not mutually exclusive. A panel owner may add partners when its own audience cannot fill a quota. A recruitment agency may start with its database and then seek additional candidates. Ask about the proposed project rather than assuming the company's category tells you where every response comes from.

Match the source to the audience and activity

For a broad consumer survey with clear country and demographic quotas, compare panel and marketplace proposals against the same specifications. A direct panel relationship may be useful when you want detailed knowledge of recruitment and panel management. A marketplace may be useful when you need to coordinate access across several audience sources.

For interviews with a narrow professional group, a local in-person study or a task requiring unusual experience, discuss custom recruitment. The work may include interpreting eligibility, finding people beyond existing profiles and coordinating sessions. That is a different service from delivering qualified survey traffic.

For repeated research, add a separate question: do you need comparable fresh samples, or the same people returning? A panel's existence does not by itself give you permission or a practical process to recontact participants. Agree how continuity, consent, identifiers and replacement participants will be handled.

Check recruitment, screening and source records

Ownership is one useful fact about a sample source, not a complete quality assessment. Ask how people join, which profile attributes are checked, how duplicate participation is handled and what happens when a response does not meet agreed standards. Apply those questions to every model.

For a marketplace or mixed-source project, ask what source-level reporting is available and whether changes during fieldwork can be documented. For a proprietary panel, ask when external sources may be introduced. For custom recruitment, ask how screening decisions and candidate checks will be recorded. The goal is to understand the path from eligibility criteria to the final dataset.

  • Distinguish identity, role or condition checks from response-quality checks.
  • Agree exclusion and replacement rules before viewing the main results.
  • Review a small initial batch or the first sessions for eligibility and instrument problems.
  • Record source and quota changes that could affect comparisons between groups or waves.

Separate sample sourcing from study software

Participant sourcing and study delivery are separate choices. Versive, for example, provides surveys, AI-moderated interviews and concept and usability testing with real participants. Those participants can come from your own audience, external suppliers or its Prolific and Respondent integrations. This makes it a research platform with several recruitment routes; the integrations provide access to other suppliers' participants.

When an external supplier sends participants to a Versive study, named sources can provide separate study links and completion, screen-out and quota redirects. Agree the handoff with each supplier, test the full participant journey and keep the source identifiable in the response data. Its AI-persona tests offer a separate route for simulated design feedback; label those results separately from recruited participant responses.

Compare included services and charges

A sample-only quote, a recruitment quote and a full-service research proposal can all contain a per-participant figure while covering different work. List the deliverables you need: survey programming, screening, scheduling, incentives, moderation, translation, cleaning and reporting. Ask every supplier to identify what is included.

Clarify how charges change if eligibility is narrower than expected, the questionnaire gets longer or appointments must be rescheduled. For surveys, define the accepted completion and any review window. For interviews, define an attended session and responsibility for no-shows. Request a clear approval step before extra sources, budget or time are added.

Example: a project using several sources

Imagine a survey of business-software buyers in the US, UK and Japan, followed by interviews with a small subset. A supplier could use a professional panel for some survey cells and custom recruitment for a particularly narrow role. It might use a different local source in Japan. Interview follow-up would require a recontact plan of its own.

That combination is not inherently a problem. The proposal should explain who supplies each part, how qualifications remain consistent and how participants are kept distinct. Compare this transparent plan with alternatives based on the same audience definition, not on the impression that one model must always be cheaper or better.

Common questions

Is proprietary sample always better than marketplace sample?

No model establishes quality by itself. Evaluate how the audience is recruited, qualified and managed for the study, how sources are disclosed, and whether the resulting participants fit the research question.

Does custom recruitment mean every participant is newly recruited?

Not necessarily. A provider may use existing contacts or a panel before adding targeted outreach. Ask what “custom” means in the proposal and which parts of sourcing and screening are specific to your brief.

Can I use several providers for one project?

Yes, but agree common eligibility rules, duplicate controls and responsibilities. Record which sources contribute to each part of the study, especially if you plan to compare markets or repeat the work later.
